Key Responsibilities
Executive Assistance
Act as the first point of contact for the Director in all business and selected personal matters.
Manage daily schedules, meetings, appointments, travel plans (domestic & international), and communications.
Prioritize emails, calls, documents, and urgent requests to optimize executive productivity.
Take dictations, prepare meeting notes, and follow-up on tasks and commitments on behalf of the Director.
Maintain a professional tone in all communications representing the office of the Director.
Office & Personal Coordination
Coordinate with internal teams, vendors, and external partners on behalf of the Director.
Assist in organizing high-profile meetings, private events, or business engagements.
Support the Director with confidential or sensitive personal errands and assignments.
Manage lifestyle elements such as fine dining bookings, wellness appointments, private travel, and hospitality coordination.
Act as a liaison for social and business networking, including select personal introductions and follow-ups.
Document & Communication Management
Draft official correspondence, proposals, business letters, and presentation material.
Review documents, legal papers, contracts, and summarize important points for executive action.
Maintain both digital and physical filing systems; ensure easy retrieval and confidentiality of sensitive materials.
Record expenses, manage reimbursements, and coordinate with accounts for payment follow-up.
Travel and Logistics
Plan and execute complex travel itineraries including flights, visa applications, hotel bookings, and local transportation.
Provide real-time travel support and coordination during trips.
Arrange for VIP services, concierge, and secure transport when necessary.
Client and Stakeholder Interaction
Attend meetings (as required), take detailed minutes, and ensure actionable outcomes.
Assist in nurturing professional relationships with HNI clients, investors, and business collaborators.
Exhibit high emotional intelligence when dealing with diverse individuals from across industries.
